This Privacy Policy explains how Certificates-of-Knowledge.com ("we", "us") collects, uses, and protects personal information when you use our website and participant portal (the "Platform").

1. Information We Collect

We collect the information you provide directly, including your name, email address, phone number, and any details submitted with an application, payment, support request, or Career Services order (for example, the content of a CV you ask us to help write). We also collect records of your study progress, assessment results, and certificates issued, and basic technical information such as login timestamps, needed to operate the Platform securely.

2. How We Use Your Information

We use your information to: process applications and payments; give you access to subjects, lessons, and assessments; issue and verify certificates; provide Career Services you request; respond to support enquiries; and send you service-related communications, such as payment confirmations, receipts, and study reminders. We do not use your information to make automated decisions that produce legal or similarly significant effects on you.

3. Payment Information

We do not store full card or bank account numbers. Payments are confirmed manually using the payment reference you supply; we retain a record of the amount, method, reference, and status of each payment as part of your account's financial history, for accounting and audit purposes.

4. Email, WhatsApp and SMS Communication

Where you provide a phone number, we may use it to send you WhatsApp messages related to your application, payments, or account (for example, a payment confirmation or a temporary password reset). We use email for account notifications, receipts, and, where you have not opted out, occasional updates about the Platform. You can ask us to stop non-essential communications at any time using the contact details in Section 9.

5. Cookies and Sessions

The Platform uses a session cookie to keep you signed in while you use the participant or staff portal. This cookie is necessary for the Platform to function and does not track you across other websites. We do not use third-party advertising or tracking cookies.

6. How We Share Information

We do not sell your personal information. We may share it with service providers who help us operate the Platform (for example, email/SMTP delivery or payment-reference verification), and only to the extent needed for them to provide that service. If your access to the Platform is sponsored by an employer or organisation through a company cohort, we share your enrolment and study-progress information (such as subjects completed, assessment results, and certificates issued) with that organisation's designated contact, for the purpose of tracking the cohort's progress. We may also disclose information where required by law, to protect our rights, or to investigate suspected misuse of the Platform.

7. Data Retention

We retain application, payment, and certificate records for as long as needed to support your certificate's ongoing verification, to meet our accounting and legal obligations, and to resolve any disputes. You may ask us to delete other personal information we hold about you, subject to these retention needs.

8. Your Rights

You may ask us to access, correct, or delete the personal information we hold about you, or to tell you more about how it is used, by contacting us using the details in Section 9. We will respond to reasonable requests within a reasonable time.

9. Data Security

We take reasonable technical and organisational measures to protect your information, including password hashing and access controls on staff accounts. No online system is completely secure, and we encourage you to use a strong, unique password for your account.

10. Children's Privacy

The Platform is intended for adult applicants. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above shows when this page was last revised. We encourage you to review this page periodically.
